Reminder: Safe Haven AGM June 16, 2026

The Chilliwack Animal Safe Haven Society invites all members to attend the 2026 Annual General Meeting, taking place virtually on Tuesday, June 16, 2026 at 7:00pm (PDT).

The Board have retained a neutral, professional external provider, GetQuorum, who specialize in organizing and facilitating large virtual meetings, like AGMs.

The notice was sent by GetQuorum on June 2, 2026. They will facilitate the registration, nomination, and voting processes, as well as moderate the AGM itself.

All voting for Director positions will be Advanced Voting. Once nominations are finalized, GetQuorum will send out the Advanced Voting link to all members on Tuesday, June 9, 2026. Voting will end on Monday, June 15 at 11:59pm (PDT). GetQuorum will tabulate the votes and provide the results at the AGM on June 16, 2026.

Nominations are open for the Nine (9) Board of Directors positions and will remain open for 3 weeks, ending on June 8 at 8:00pm (PDT). Details about each of the positions can be found in the package included in your email invitation. The process will work as follows:

  1. Submit nominations to VicePresident@thesafehaven.ca with a short bio of not more than 200 words to support your nomination.
  2. Members can either self nominate or nominate another member for a listed director position. Candidates nominated by either method will require another member to second their nomination as per Bylaw 45(b), which also needs to be submitted to the Vice President.
    • If a nomination is not seconded, the nomination is invalid and the person cannot be recognized as a candidate.
  3. If a member nominates another member, the Vice President will have to confirm that the proposed candidate wants to run for the applicable position.
  4. Nominations close on Monday, June 8 at 8:00pm.
  5. The Vice President will forward the list of nominations to GetQuorum.
  6. GetQuorum will send out the Advanced Voting link on June 9, 2026 and members will have 7 days to vote; voting ends on June 15, 2026.

Other than the nomination process, all communications should be from GetQuorum. This includes additional information about the AGM, including the agenda, minutes from the 2025 AGM and how to access the virtual AGM by computer or phone. This reminder will be emailed on June 2, 2026.

GetQuorum has the full membership list and will manage the entire voting/ballot process, which mitigates any risk associated with missing or duplicate ballots. The Society’s bylaws provide for a maximum of nine directors. All nine director positions will be open for election at the upcoming AGM. The Society’s bylaws also state that candidates are nominated for a specific role, with the list as follows.
